Job Description

We are looking for a dedicated and detail-oriented Administrative Assistant to join our dynamic team. The ideal candidate will possess excellent organizational skills and have a proactive approach to supporting our day-to-day operations. Responsibilities

  • Manage and organize office documents both physically and digitally for easy retrieval.
  • Schedule appointments and maintain calendars to ensure optimal time management.
  • Coordinate meetings, including preparing agendas and arranging meeting facilities.
  • Develop and maintain office filing systems to ensure organization and efficiency.
  • Provide excellent customer service to clients and visitors in the office.
  • Assist in the preparation of regular reports and data entry tasks as required.
  • Handle incoming and outgoing mail, email correspondence, and phone calls professionally.
  • Order office supplies and manage inventory to prevent shortages and overstocking.
  • Support other departments with administrative tasks and special projects as needed.
  • Maintain a tidy and organized work environment to promote efficiency and safety.
  • Process invoices and assist in maintaining financial records for accuracy and compliance.
  • Assist in the onboarding process for new hires, including document preparation.

Requirements

  • Proven experience as an administrative assistant or office manager in past roles.
  • Proficiency in MS Office Suite including Word, Excel, and PowerPoint is required.
  • Excellent verbal and written communication skills for effective interaction.
  • Strong organizational skills with the ability to multi-task and prioritize work.
  • High school diploma is required; additional qualifications as an Office Assistant or Secretary are a plus.
  • Ability to work independently and with a sense of urgency in a fast-paced environment.
  • Strong attention to detail and problem-solving skills for addressing daily challenges.
