The Administrative Assistant position, code 09F25, is a crucial role within our organization. Responsibilities

  • Provide high-level administrative support to executives and senior management.
  • Coordinate and schedule meetings, appointments, and travel arrangements effectively.
  • Maintain and organize files, records, and documents for easy retrieval.
  • Act as a liaison between departments and external parties as needed.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Conduct research, compile data, and prepare reports for management as requested.
  • Assist with project management by tracking timelines, deliverables, and progress.
  • Handle office supply management and liaise with vendors to maintain supply inventory.
  • Coordinate internal events, meetings, and conference calls, including logistics and catering.
  • Manage incoming and outgoing communications, including emails and phone calls.
  • Support HR functions such as onboarding new employees and maintaining personnel records.
  • Ensure confidentiality and security of sensitive information at all times.

Requirements

  • Bachelor’s degree or equivalent experience in business administration or related field.
  • Proven experience as an administrative assistant or in a similar role preferred.
  • Proficiency in MS Office Suite, including Word, Excel, and PowerPoint applications.
  • Excellent verbal and written communication skills to interact with diverse stakeholders.
  • Strong organizational skills with the ability to prioritize multiple tasks effectively.
  • High degree of integrity and professionalism when handling confidential information.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Detail-oriented mindset with a focus on accuracy and quality of work output.
