The Administration Assistant provides administrative and operational support to ensure smooth business processes. This role typically involves handling documentation, coordinating with internal teams and external stakeholders,

What You’ll Be Doing

  • Raise local and inter-company purchase orders and manage office purchasing requirements, including arranging local deliveries and coordinating with drivers for transport-related needs.
  • Handle suppliers’ delivery notes and purchase orders.
  • Collate all invoice documentation for client accounts, send purchase invoices to Accounts Payable, and assist with payable queries.
  • Prepare receipt vouchers and arrange cheque collection.
  • Produce delivery documentation such as delivery notes, certificates, and gate pass requests.
  • Prepare all required shipping documentation including commercial invoices, packing lists, and certificates of origin.
  • Arrange flight and hotel reservations.
  • Manage employee work visa applications and renewals.
  • Coordinate with the PRO for company license and certification renewals.
  • Conduct site safety inductions.
  • Coordinate with the facilities team for maintenance and repair work.
  • Assist the Operations Manager in contractor evaluation.
