Job Purpose

The Creative & Editorial Project Coordinator drives operational excellence across the Creative & Editorial function. This role is responsible for managing project workflows, streamlining and improving the briefing process, enhancing visibility of team capacity and delivery, and ensuring projects move efficiently from briefing through to final delivery.

Reporting to the Head of Creative & Editorial, the role ensures the smooth flow of projects across creative and editorial workflows. This includes maintaining accurate briefing systems, adhering to timelines, and supporting seamless execution across production and design teams.

The role also supports the transformation of the function into a scalable, data-driven operation through process optimisation, AI adoption, and structured project management.

Roles and Responsibilities

Strategic Responsibilities

Functional Responsibilities

Project & Workflow Management

  • Own end-to-end project tracking across the Creative & Editorial function, maintaining full visibility of projects, milestones, dependencies, and deadlines
  • Ensure projects move efficiently through briefing, review, approval, and delivery stages
  • Identify bottlenecks and proactively resolve blockers
  • Support prioritisation across BAU, campaigns, brand partnerships, and special projects

Briefing & Creative Operations

  • Streamline and enhance the briefing process, ensuring accurate capture of information and smooth flow through systems
  • Establish and maintain project management frameworks, workflows, and SOPs
  • Improve resource planning, workload allocation, and capacity forecasting
  • Support delivery planning and drive accountability through clear ownership and timelines
  • Support the day-to-day running of creative operations across production and design

Process Optimisation & Automation

  • Continuously review workflows to identify inefficiencies and reduce manual administrative effort
  • Implement smarter processes and tools to drive efficiency
  • Partner with stakeholders to automate repetitive tasks and introduce AI-enabled workflows
  • Support adoption of new tools and technologies across the team

Data & Reporting

  • Build and maintain dashboards providing visibility on project status, team capacity, resource allocation, and delivery performance
  • Track AI adoption, efficiency gains, and workflow bottlenecks
  • Produce regular reports and actionable insights to support decision-making

Stakeholder Management

  • Act as the operational link between Creative, Editorial, Marketing, Buying, Content, Product, and Production teams
  • Ensure alignment on briefs, timelines, and deliverables across stakeholders
  • Escalate risks proactively and drive timely resolution

Job Requirements

Education

  • Bachelor’s degree in Business Management, Marketing, Communications, Project Management, or a related creative discipline

Experience

  • 3–5+ years of experience in Project Coordination, Creative Operations, Project Management, or Marketing Operations
  • Experience within a creative, marketing, content, or agency environment is preferred

Knowledge & Skills

  • Strong project management skills with the ability to manage multiple concurrent projects
  • Hands-on experience with tools such as Jira, Asana, Monday.com, Airtable, Notion, or ClickUp
  • Experience implementing automation workflows and using AI tools (highly desirable)
  • Knowledge of workflow mapping and process optimisation
  • Experience building dashboards and reporting frameworks
  • Strong analytical and data interpretation skills
  • Understanding of creative production and editorial workflows
  • Excellent stakeholder management and communication skills
  • High attention to detail with a data-driven approach
  • Proficiency in MS Office
  • Highly organised, proactive, and adaptable in a fast-paced environment
  • Strong sense of accountability and ability to maintain confidentiality
  • Innovative mindset with the ability to introduce new ideas and efficiencies
