Job Purpose

JOB DESCRIPTION

To supervise and coordinate all soft services operations at the assigned site, including housekeeping, cleaning, waste management, landscaping, pest control, façade cleaning, and related support services. The Site Supervisor is responsible for ensuring services are delivered efficiently and consistently in compliance with contractual obligations, KPIs, SLAs, HSE requirements, and client expectations.

Key ResponsibilitiesOperations Management

  • Supervise day-to-day soft services activities across the assigned facilities.
  • Ensure cleaning schedules and service plans are executed effectively.
  • Coordinate housekeeping, waste management, landscaping, pest control, and specialized cleaning activities.
  • Monitor service delivery to ensure compliance with contractual requirements.
  • Ensure adequate staffing levels are maintained to meet operational demands.

Team Supervision

  • Supervise cleaners, housekeeping attendants, waste handlers, gardeners, and subcontractors.
  • Allocate daily tasks and work assignments.
  • Monitor staff attendance, punctuality, productivity, and performance.
  • Conduct toolbox talks, shift briefings, and operational meetings.
  • Provide on-the-job training and guidance to staff.
  • Recommend performance improvements and disciplinary actions when required.

Housekeeping & Cleaning Management

  • Monitor routine, periodic, and deep-cleaning activities.
  • Ensure cleanliness of common areas, offices, washrooms, corridors, lobbies, external areas, and other facility spaces.
  • Verify proper use of cleaning chemicals, equipment, and machinery.
  • Ensure compliance with approved cleaning methods and procedures.
  • Monitor cleaning consumables and replenish stock as required.

Waste Management

  • Supervise waste collection, segregation, transportation, and disposal activities.
  • Ensure waste management practices comply with local authority and environmental requirements.
  • Coordinate waste removal schedules with approved service providers.
  • Monitor cleanliness of waste collection points and refuse rooms.

Landscaping & External Services

  • Supervise landscaping and grounds maintenance activities.
  • Monitor irrigation systems and landscaping contractors.
  • Ensure external areas remain clean, safe, and visually appealing.
  • Conduct routine inspections of outdoor facilities and common areas.

Quality Assurance & Inspections

  • Conduct daily, weekly, and monthly quality inspections.
  • Identify service deficiencies and implement corrective actions.
  • Participate in client inspections and audits.
  • Ensure timely closure of inspection remarks and non-conformities.
  • Maintain quality standards across all soft services operations.

Client & Occupant Coordination

  • Act as the primary site-level contact for soft services matters.
  • Respond promptly to client complaints and service requests.
  • Coordinate with tenants, occupants, and client representatives.
  • Attend site meetings and support client inspections.
  • Ensure high levels of customer satisfaction and service excellence.

KPI & SLA Management

  • Monitor KPI and SLA compliance across all soft services activities.
  • Track service performance and implement improvement initiatives.
  • Ensure timely closure of service requests and complaints.
  • Support management in achieving contractual performance targets.
  • Prepare KPI reports and operational performance summaries.

Health, Safety & Environment

  • Ensure compliance with company HSE policies and procedures.
  • Conduct regular safety inspections and toolbox talks.
  • Ensure proper storage, handling, and use of cleaning chemicals.
  • Verify staff use appropriate PPE.
  • Report incidents, accidents, and near misses.
  • Promote environmental awareness and sustainability practices.

Documentation & Reporting

  • Maintain attendance records, duty rosters, and leave schedules.
  • Prepare daily, weekly, and monthly operational reports.
  • Maintain inspection checklists and audit records.
  • Monitor consumption of chemicals, consumables, and equipment.
  • Assist management in preparing client reports and presentations.

Qualifications

  • Diploma or Bachelor's Degree in Facilities Management, Hospitality Management, Environmental Services, Business Administration, or a related discipline.

Professional Certifications (Preferred)

  • BICSc Cleaning Supervisor Certificate
  • BICSc CPSS (Cleaning Professional's Skills Suite)
  • IOSH Managing Safely
  • NEBOSH International General Certificate (IGC) – Preferred
  • ISSA Cleaning Management Institute (CMI) Certification
  • COSHH (Control of Substances Hazardous to Health) Awareness Training
  • Waste Management and Environmental Awareness Training
  • First Aid Certification
  • Fire Warden / Fire Marshal Certification
  • Customer Service and Complaint Handling Training

Experience

  • Minimum 5 years of experience in Soft Services or Facilities Management.
  • Minimum 2 years in a supervisory role managing housekeeping and cleaning teams.
  • Experience in residential communities, commercial towers, government facilities, hospitals, hotels, airports, educational institutions, or mixed-use developments.

Technical Knowledge

  • Housekeeping and janitorial operations.
  • Deep cleaning and specialized cleaning methods.
  • Waste management and recycling practices.
  • Landscaping and grounds maintenance coordination.
  • Cleaning chemicals, machinery, and equipment.
  • Quality control and inspection procedures.
  • KPI and SLA management in FM contracts.
  • CAFM systems and digital work order platforms.

Preferred Experience

  • UAE/GCC Facilities Management experience.
  • Experience managing large soft services teams in KPI/SLA-driven environments.
  • Familiarity with client inspection protocols and authority audits.
  • Experience in government, healthcare, hospitality, residential, commercial, and mixed-use FM contracts.
  • Knowledge of UAE environmental, health, and safety regulations.
  • Experience implementing sustainability, recycling, and service excellence initiatives.
