Job Scope

To carry out tasks related to the processing of all types of visas, renewals, Iqamas, work permits, licenses and other government-related documentation for NMES in UAE (Dubai & Abu Dhabi) to ensure compliance with ACWA Power’s policies and local regulations, whilst updating the data of the company in different Government Offices.

Key Accountabilities

Trade License management

  • Implement and process the day-to-day tasks related to processing and timely renewal of trade licenses, Chamber of Commerce licenses and various other certificates for NMES its companies to ensure timely processing and obtaining of licenses.
  • All types of Visa Documentation and Processing
  • Prepare, process, and obtain timely approval for official applications such as visas (All Types), Iqamas, work permits, (issuance and cancelation) etc., to comply with local regulations.
  • Immigration & Employment Visa Management (UAE)
  • Employment visa application, renewal, amendment, and cancellation
  • Entry permits and in-country status change processing
  • Residence visa stamping and renewal coordination
  • Employee onboarding and visa cancelation procedures
  • Visit visa applications processing
  • Family visa coordination for employees, where applicable
  • Monitoring of visa validity and proactive renewal notifications
  • Labour, MOHRE & Immigration Coordination
  • Submission of Labor quota and establishment card coordination
  • New Work permit application
  • Mission visa processing
  • Labour contract preparation, submission, and renewal
  • MOHRE approvals and regulatory compliance support
  • Immigration file creation and workforce record management
  • Employee cancellation processing and compliance follow-ups
  • Employee Pension processing
  • Medical fitness test appointment scheduling and assistance
  • Emirates ID application and renewal support
  • Biometric appointment coordination
  • Ensure all supporting documentation as per government requirements are attached and forwarded to the right authorities for the preparation of applications and submitted to the concerned official Departments and entities.
  • Establish and maintain employee records for governmental documentation such as visas, transfers, medical records etc. for reference and future use.
  • Remain updated on all changes and amendments sanctioned by government agencies that affect relevant business functions and communicate to superiors accordingly.
  • Weekly submissions of petty cash receipts and to replenish as per the requirements
  • Provide regular reports to the line manager for proper action and information.

Out-of-Country & International Visa Support

  • The service provider shall support international visa applications outside the UAE, including business, visit, and temporary work visas, for employees and company representatives, including but not limited to:
  • End-to-end support for visa applications such as Schengen, UK, US, KSA, Bahrain, and other countries as required
  • Preparation and review of visa documentation in line with embassy / consulate requirements
  • Scheduling and coordination of VFS and embassy appointments
  • Liaison with embassies, consulates, and VFS centres for clarifications and application status
  • Guidance on appropriate visa categories, validity, and compliance
  • Support for temporary work visas in KSA and short-term deployment visas, where applicable
  • Application tracking and follow-up until final decision

Employee Documentation & Attestation Support

  • Educational and personal document attestation coordination
  • Certificate processing for employment and visa compliance
  • Notarization and legal documentation assistance
  • HR documentation support for onboarding and offboarding
  • Government Liaison & PRO Representation
  • Continuous coordination with UAE government departments
  • Application follow-ups and progress monitoring
  • Issue resolution with immigration, labour, and licensing authorities
  • Dedicated PRO representation for routine and ad-hoc corporate requirements
  • Dedicated messenger services for document collection and delivery

Relationship Management

  • Build and maintain relationships with government agency officials and agents such as visa and work permit authorities in order to get efficient service from them for NMES employees.
  • Respond to and resolve queries of employees on matters related to government regulations of work permits and visas etc. in a prompt, polite and efficient manner to clarify their doubts and follow up to expedite their cases.
  • Provide regular support to all employees as applicable during their Visa appointments, Medicals, etc. including petty cash to make the payments.
  • Build and maintain effective business relationships with ACWA Power/ NMES PROs located in and outside UAE, i.e., KSA, Oman,
