Job Description

As a Site Document Controller, you will play an essential role in managing and controlling documentation related to construction, engineering, or infrastructure projects. You will be responsible for ensuring the accuracy, quality, and integrity of documentation received and dispatched, maintaining an efficient document management system, and ensuring that all project documents are up-to-date, appropriately recorded, and accessible for stakeholders. Your ability to organize and streamline documentation processes will be crucial in facilitating smooth project operations and compliance with industry standards. You must have excellent organizational skills, a keen eye for detail, and the capacity to handle large volumes of documentation in a fast-paced environment. By effectively managing documentation, you will support project teams in meeting their deadlines and objectives, ensuring a successful project outcome.


Responsibilities

  • Maintain a comprehensive document control system and ensure all documents are complete.
  • Coordinate with project managers and engineers for documentation accuracy and compliance.
  • Receive, record, and distribute project-related documents, drawings, and data efficiently.
  • Ensure document versions are accurately logged and tracked with a clear audit trail.
  • Implement document control procedures and ensure team adherence to standard practices.
  • Work closely with project stakeholders to ensure timely and proper document flow.
  • Analyze current documentation processes and propose improvements for efficiency.
  • Ensure proper archiving of both physical and electronic documents for easy retrieval.
  • Prepare and distribute project documentation reports to key stakeholders regularly.
  • Support teams with document retrieval and provide training on document control systems.
  • Assist in internal and external audits as required by project protocols.
  • Maintain confidentiality and security of project documentation and sensitive information.

Requirements

  • Bachelor's degree in business administration, library science, or a related field.
  • Minimum of three years' experience in document control or records management roles.
  • Demonstrated proficiency with document management systems and Microsoft Office Suite.
  • Strong organizational skills with the ability to manage and prioritize tasks effectively.
  • Excellent attention to detail and ability to maintain accuracy under pressure.
  • Solid understanding of document control protocols and industry standards for projects.
  • Excellent communication skills and ability to work collaboratively with diverse teams.
