Job Description

The Site Document Controller is a crucial role responsible for managing and overseeing all documentation processes on a construction project site. Tasked with maintaining the integrity and confidentiality of project documents, the Document Controller ensures that all project documents, from blueprints to contracts, are controlled and distributed efficiently. This role involves thorough organization, classification, and precise handling of both digital and hardcopy files, ensuring that the necessary documentation is available to team members when required. You will work closely with project managers, engineers, and other stakeholders to streamline documentation flow, reduce administrative burdens, and support seamless communication across departments. The Site Document Controller must possess excellent organizational skills, superior attention to detail, and proficiency in document management software to be effective in contributing to the project’s success.


Responsibilities

  • Manage the receipt, cataloging, and distribution of project documentation efficiently and accurately.
  • Ensure all project documents comply with established archival and retention policies and standards.
  • Maintain an up-to-date register of project documentation and control logs ready for audits.
  • Coordinate with project team members to facilitate document review, approval, and transmittal processes.
  • Implement and manage document change control processes, ensuring all updates are tracked and retrievable.
  • Oversee the protection of sensitive and confidential information, ensuring its security and integrity.
  • Assist with preparation and distribution of meeting minutes and official project reports.
  • Troubleshoot document control issues swiftly, providing solutions that maintain project continuity.
  • Train and guide staff on documentation-related procedures and proper use of document control software.
  • Ensure compliance with corporate and regulatory requirements concerning document management practices.
  • Conduct regular audits and quality checks on project documents for consistency and adherence to standards.
  • Support the smooth operation of document retrieval systems and respond promptly to information requests.

Requirements

  • Bachelor's degree in Business Administration, Library Science, or a related field preferred.
  • Minimum of three years’ experience in document control or similar administrative roles.
  • Proficiency in document management software such as Documentum or SharePoint essential.
  • Excellent organizational skills and a keen eye for detail in document handling.
  • Strong verbal and written communication skills for effective team collaboration.
  • Ability to prioritize tasks efficiently and perform well under tight deadlines.
  • Experience with construction project documentation and familiarity with construction terms is advantageous.
