Currently, we are looking for a passionate and energetic Shift Supervisor to be based in the Operations Team. In this role, the successful candidate will supervise the running of a safe and efficient operation, working within clear guidelines to help manage shift performance of your team in order to drive operational standardization and delivery of key objectives.
In this position you will
Implement actions as directed to reduce or eliminate health and safety related risks.
Ensure the team applies the Safety Standards and relevant guidelines.
Implement Behavioral Based Safety (BBS) program on a daily basis to confirm behaviors and processes are followed as specified.
Report and investigate incidents within the work place and respond to or escalate issues of non compliance to safety regulations and procedures.
Have clear understanding of Objectives & KPIs applicable to your position and to your team.
Communicate Objectives & KPIs applicable to your team (first level of management), align the expected frequency for tracking them, how the results are calculated and on which reports they can find the results.
Have clear understanding of Roles & Responsibilities applicable to your position and to your team.
Confirm that your team’s roles and responsibilities are fully equipped to deliver the operational requirements as per the OMSFC standard.
Communicate Roles & Responsibilities applicable to your team and ensure they are trained and prepared to execute the expected activities.
Develop your TDM according to your Roles & Responsibilities and aligned to the TDM of your team. Validate it with your immediate leader.
Follow your TDM and review it if necessary, validating it with your immediate leader.
Review the TDM’s developed by your team can deliver their R&R and are executional as per their shift & working hours.
Update Daily resource planning for next shift, based on latest volume and volume profile information.
Receive Daily resource planning updated from previous shift and define shift priorities with coordinator. If there is a significant deviation of employee attendance (communicated by coordinator), update the tool to have a better planning Confirm the availability and validate the requirement for operational equipment (MHE, handhelds, etc.) needed from the coordinator.
Track shifts performance and understand deviations with Frontline Leadership in terms of the KPI tree:
Productivty, Dispersion, Variance
Direct & Indirect Hours (including Set up time)
Track employee attendance ratio of your area of responsibility per First level of management.
Track overtime rate of your area of responsibility per First level of management.
Track turnover rate of your area of responsibility per First level of management.
Track the agreed Quality KPIs to goods at process level and discuss any deviations with Frontline Leadership.
Track number and % of claims per area of responsibility, understand and address deviations with Frontline Leadership.
Have clear understanding of Performance Tracking Tool (data system) applicable to your role.
Gather opportunities for Standard Productivity Rates review identified by Frontline Leadership and work to adress/ resolve them with the appropriate team.
Review and Approve the Standard Operational Procedures (SOP) and Work Instructions (WI) of your area and ensure that review’s process and approval are taken under the established due dates.
Ensure the SPR is updated and validated based on the latest Work instructions (as per the latest Continous Improvement initiatives) Ensure the updated SPRs are updated for targets in KPIs and resource planning tools.
Track number of Work Instructions updated based on CI and Process Deviation identified.
Nominate operational trainers to attend to Train the Trainer sessions according to expected profile and soft skills.
Identify and indicate new trainers to Excellence School, if needed
Ensure coordinators are properly trained according to their training matrix.
Support Simulation Center and Excellence School trainers on actions needed.
Ensure trainers are available to conduct Excellence School trainings, based on your shifts resource planning and Excellence School program.
Monitor how many people in your team have been trained on Excellence School according to training schedule and take actions with First level of management if necessary to fulfill the plan.
Review and ensure the span of control for operational trainers is properly set, by tracking % Trainers vs. Direct Headcount per Work Category.
Prepare, make and document the shift handover with your colleague of next shift and report to direct manager the main points identified during your working day and shift to your direct manager.
Participate on shift handover with your colleague of previous shift understanding the current status and priorities for your working day.
Ensure adherence to performance review schedule. Address any issues with the compliance with the first level of management.
Conduct leadership performance meetings, discussing the shifts needs and priorities, ensuring that actions are taken by your team and/or support areas.
Conduct pre-shift meetings with your team, ensuring clear communication regarding the sites Key Performance Indicators and improvement actions in process.
Conduct Critical Analysis Meeting with First level of management, presenting and discussing the performance results per leader, based on Performance Scorecard.
Participate in the Critical Analysis Meeting, discussing shifts overall performance with general / site manager and operations manager, based on the Performance Scorecard to raise issues, challenges and opportunities.
Participate in a group meeting with all Second level of management by the operations manager to follow up on the action plan from the Critical Analysis Meeting (based on Performance Scorecard).
Inform to your manager if a new resource / investment is needed, aiming to eliminate productivity barriers and improve performance (input from indirect hours tracking).
Conduct OMS FC Standards Confirmation with your team (First level of management) to check if OMS routines are in place as expected and if there are any opportunities / challenges.
Track number and % of Process Confirmations conducted by your First level of management according to the plan.
Track number and % processes deviation and CI identified by you and your First level of management.
Discuss Continuous improvement opportunities raised by the team with your colleagues of Second Level of management Leadership and with operations manager, ensuring actions are implemented - Weekly CI Meeting for follow up and escalating any issue.
Review implementation status of Continuous improvement opportunities with your First level of management and understand issues, gaps and challenges to support where necessary.
Track % Headcount participating with continuous improvement opportunities identified of area of responsibility, understanding engagement of your team in providing new ideas.
Implement improvement actions in your department with your First level of management, involving necessary areas / people.
Communicate the reward and recognition, engagement programs to shop floor team and train coordinators on how the activities work.
Raise ideas of new initiatives for engaging people within the organization and with the community. Support the First level management to promote people engagement and Living Responsibly initiatives to shop floor employees.
Control your operational processes (inbound, picking, outbound, etc), fulfilling service level agreeded and deadlines established - at each 2h, per process/Team.
Support the succession plan and talent agenda at the site by providing recommendations on direct reports as appropriate.
Implement HR processes and tools to encourage and support the growth and development of individuals
Support and supervise direct reports to help drive an engagement culture at the site.
Participate in CSR (Corporate Social Responsibility) activities and engages employees in participation.
Responsibility for recruiting and developing team (coordinator and operators) and managing performance within local guidelines, with resource support as appropriate.
Implement the required security measures to protect the site premises, including the safety of personnel, DSC assets and of the customers product for the required area.
Adhere to the DSC 6 Steps security framework.
Investigate all relevant security risks and implement identified mitigation, where necessary having proposed mitigation options to your line manager for agreement.
Implement defined processes to ensure compliance with all relevant regulatory and local legal obligations.
Communicate all relevant DPDHL policies to frontline employees and monitor their implementation on a regular basis.
Participate in customer, regulatory and internal operational audits as required and work with the team to implement the agreed action plan.
Liaise with suppliers based on business requirements, monitor performance and where necessary, propose improvements to line manager and implement agreed improvement actions.
