Job Description

We are seeking a highly organized and detail-oriented Senior Document Controller to join our dynamic team. As a Senior Document Controller, you will be responsible for ensuring that all project documentation is managed and maintained to the highest standards. You will work closely with various departments to streamline document processes and guarantee that all documentation is accurate, consistent, and easily accessible. Your role will be pivotal in supporting project teams and ensuring compliance with industry regulations and company policies. Responsibilities

  • Oversee the document control process and ensure all documents are up-to-date.
  • Manage the document lifecycle from creation to archiving according to company standards.
  • Coordinate with project teams to ensure timely submission of critical documents.
  • Develop and implement effective document management strategies and procedures.
  • Conduct regular audits to verify document integrity and compliance with industry regulations.
  • Ensure all project documentation is complete, consistent, and secure from unauthorized access.
  • Maintain a comprehensive and easily accessible electronic document management system.
  • Provide training and support to team members on document control processes.
  • Collaborate with IT teams to troubleshoot document management system issues.
  • Prepare regular reports on document control performance metrics and improvement areas.
  • Ensure that documentation practices across the organization align with best practices.
  • Assist in the preparation and collation of documents for project inspections and reviews.

Requirements

  • Bachelor's degree in Business Administration, Information Management, or a related field.
  • Minimum of 5 years of experience in a document control or similar role.
  • Proficiency in using document management software and related tools.
  • Strong organizational skills with excellent attention to detail and accuracy.
  • Ability to manage multiple tasks simultaneously and prioritize workload effectively.
  • Excellent communication skills, both verbal and written, are essential.
  • Solid understanding of document control standards and industry regulations.
  • Experience in creating, implementing, and optimizing document management processes.
