Job Description

The Senior Document Controller plays a critical role within an organization by managing and maintaining all company documents to ensure seamless access and retrieval across departments. This position entails overseeing the documentation lifecycle, ensuring document control procedures conform to regulatory standards, and safeguarding master documents from unauthorized access. As a Senior Document Controller, you will work collaboratively with various teams, including project managers, quality assurance, and IT, to facilitate document flow and ensure accuracy and security in documentation. Your expertise in document management software and your ability to train and guide other team members will be pivotal to the success of the organization’s document control processes. Responsibilities

  • Maintain and manage the organization's internal and external documents with precision.
  • Develop and implement document control procedures to ensure compliance and efficiency.
  • Oversee the access and security of master documents to prevent unauthorized handling.
  • Ensure all document versions are up-to-date, accurate, and properly archived.
  • Support and train team members in the use of document control systems and software.
  • Collaborate with various departments to improve document workflow processes.
  • Audit document control procedures periodically to ensure adherence to established standards.
  • Coordinate with project managers to facilitate timely access to required documents.
  • Address issues or discrepancies in documentation promptly and efficiently.
  • Prepare documentation reports and summaries for audits and managerial review.
  • Advise on best practices in document management and implement necessary changes.
  • Act as the point of contact for document control queries within the organization.

Requirements

  • Bachelor’s degree in business administration, information management, or related field.
  • Minimum of 5 years of experience in document control or management roles.
  • Proficiency in document management software and tools is mandatory.
  • Strong understanding of documentation standards, processes, and compliance regulations.
  • Excellent organizational skills and attention to detail essential for this role.
  • Ability to train and mentor junior staff in document management practices.
  • Proven ability to handle sensitive and confidential documents with discretion.
  • Strong communication skills to interact effectively with cross-functional teams.
