Job Description

A Senior Document Controller is a highly organized and meticulous professional responsible for managing, storing, and organizing company documentation efficiently. This role is critical for ensuring that all documents are up to date and accessible to the appropriate personnel in a timely manner. The Senior Document Controller typically works within industries like construction, engineering, and manufacturing, where technical documentation needs stringent control and dissemination. With a strong understanding of document management software and systems, the Senior Document Controller implements strategies to improve document control operations. Responsibilities

  • Maintain and update a central repository for all company documents accurately and consistently.
  • Ensure that all documents are checked for quality and compliance before dissemination.
  • Facilitate easy access and retrieval of documents by authorized personnel within the organization.
  • Develop and enforce document control best practices, policies, and procedures across projects.
  • Coordinate with various departments to ensure effortless document flow within the organization.
  • Implement and maintain robust document management systems for optimal performance.
  • Train and mentor junior document control staff, ensuring a high level of performance.
  • Conduct regular document audits to ensure accuracy and integrity of the documentation process.
  • Collaborate with project managers to align document control activities with project objectives.
  • Handle document requests and queries efficiently, providing information as needed for decision-making.
  • Oversee the archiving and securing of inactive documents in compliance with legal requirements.
  • Assess and mitigate risks related to document control operations, ensuring data protection.

Requirements

  • Bachelor’s degree in library science, information management or related field preferred.
  • A minimum of five years' experience in document control or records management.
  • Proficient in using document management tools and software like SharePoint or Documentum.
  • Strong organizational skills with exceptional attention to detail and accuracy.
  • Excellent communication skills to effectively liaise with various organizational functions.
  • Experience in managing teams and training junior staff in document control processes.
  • Understanding of regulatory requirements pertaining to document management in the industry.
