Job Description

We are seeking an experienced and meticulous Senior Document Controller to join our team. The ideal candidate will play a crucial role in managing, organizing, and maintaining important documents and records for various projects and operations. As a Senior Document Controller, you will ensure that all documentation is easily accessible, up-to-date, and compliant with industry regulations and company policies. You will collaborate closely with project managers, engineers, and other team members to ensure the smooth flow of information and effective document control processes. This role requires strong organizational skills, attention to detail, and proficiency in document management software. Responsibilities

  • Develop and implement document control procedures to ensure standardized processes.
  • Manage the storage and retrieval of both electronic and hardcopy documents efficiently.
  • Ensure all required documents are received, accurate, and maintained in the document management system.
  • Coordinate with project teams to ensure timely updates and distribution of documents.
  • Maintain confidentiality and access control for sensitive information and documents.
  • Conduct regular audits and reviews of documents to ensure compliance with regulations.
  • Provide training and support to staff on document control procedures and software usage.
  • Prepare and distribute reports on document status and distribution metrics as required.
  • Collaborate with IT to troubleshoot and resolve any document management system issues.
  • Ensure that all documents are correctly classified and stored in appropriate locations.
  • Assist in the preparation and submission of documentation for quality assurance processes.
  • Liaise with external stakeholders to manage document exchange, ensuring data integrity.

Requirements

  • Bachelor’s degree in Business Administration, Information Management, or related field.
  • Minimum of 5 years of experience in document control or related role.
  • Proficiency in using document management software and Microsoft Office Suite.
  • Strong understanding of document lifecycle management and version control processes.
  • Excellent organizational and multitasking skills with a keen attention to detail.
  • Strong verbal and written communication skills for effective collaboration.
  • Ability to work independently and manage multiple projects simultaneously.
  • Knowledge of industry standards and regulations regarding document management systems.
