Job Description

The Senior Document Controller is responsible for the management and organization of all project documentation, ensuring accuracy, accessibility, and compliance with company and regulatory standards. This role involves liaising with various departments to align document management processes, maintain document control systems, and ensure that all project-related documents are properly recorded and archived. The individual will also oversee the document control team, providing mentorship and guidance. Strong attention to detail, excellent organizational skills, and a proactive approach to problem-solving are essential for success in this position. This role requires a seasoned professional capable of handling complex documentation systems in fast-paced environments.


Responsibilities

  • Oversee and manage the document control processes and systems effectively.
  • Ensure document accuracy and compliance with established quality standards.
  • Facilitate the flow of documentation between various departments and stakeholders.
  • Develop and maintain a comprehensive document control system and procedures.
  • Review and update documents for adherence to organizational standards regularly.
  • Assist in the training and orientation of document control staff and users.
  • Provide ongoing support and troubleshooting for document control issues.
  • Ensure all project documentation is archived properly according to established protocols.
  • Coordinate with project managers on the status of documentation deliverables.
  • Analyze document control data and prepare reports for management evaluation.
  • Maintain confidentiality and security protocols for sensitive project documents.
  • Lead continuous improvement initiatives for document management processes and systems.

Requirements

  • Bachelor’s degree in business administration, information management, or related field.
  • Minimum of five years of experience in document control or records management.
  • Proven expertise in document control software and electronic file management systems.
  • Strong understanding of document control processes and regulatory compliance standards.
  • Exceptional organizational skills with strong attention to detail and accuracy.
  • Excellent communication and interpersonal skills to collaborate effectively.
  • Ability to lead and mentor a team, promoting a positive working environment.
