Job Description

The Senior Document Controller, 03D25, is a pivotal position within our organization crucial for ensuring that all documentation processes run smoothly and comply with internal and external regulatory standards. In this role, you will manage a team of document controllers and oversee the document lifecycle, from creation to final destruction. You will implement and maintain document management systems, ensuring that all documents are easily accessible and securely stored. Additionally, you will liaise with various departments to ascertain documentation requirements and guarantee that document handling is efficient and meets industry standards. As a senior professional, you will play a critical role in audits and quality assessments, ensuring compliance with organizational policies and procedures. Responsibilities

  • Manage and oversee the entire document control process within the organization.
  • Ensure compliance with all regulatory standards in documentation handling and storage.
  • Develop, implement, and maintain an efficient document management system.
  • Supervise and provide guidance to a team of document controllers.
  • Coordinate with various departments to meet their documentation needs effectively.
  • Ensure proper archival and retrievability of documents in a timely manner.
  • Conduct regular audits to ensure documents follow organizational and industry standards.
  • Provide training and support to team members on best practices in document management.
  • Generate reports and presentations on document control activities for senior management.
  • Deal with requests for document retrieval and any document-related queries or issues.
  • Monitor document distribution and movement to maintain security and confidentiality.
  • Continuously assess and improve document management processes and systems.

Requirements

  • Bachelor's degree in Business Administration, Information Management, or related field.
  • Minimum of five years of experience in document control or management.
  • Familiarity with document management software, such as Aconex or SharePoint.
  • Strong understanding of regulatory and quality standards for documentation.
  • Excellent organizational and communication skills, both written and verbal.
  • Experience in leading and managing a team of documentation specialists.
  • Attention to detail and ability to handle complex processes and systems.
