Job Description

We are seeking a highly organized and efficient Secretary to join our dynamic team. The ideal candidate will possess exceptional communication skills, strong attention to detail, and the ability to manage multiple tasks in a fast-paced environment. As a key member of our administrative team, the Secretary will assist in the smooth operation of daily activities, providing vital support to ensure that all administrative processes run effectively. The successful candidate will be responsible for handling correspondence, scheduling meetings, and managing records, alongside other clerical duties. This role requires a proactive individual with a strong sense of professionalism and discretion, capable of maintaining confidential information and supporting various departments as needed.


Responsibilities

  • Manage incoming and outgoing correspondence, including emails, letters, and packages efficiently.
  • Schedule and organize meetings, appointments, and travel arrangements for team members.
  • Maintain and update office filing systems, both electronic and physical, ensuring easy access to information.
  • Assist in the preparation and distribution of documents, reports, and presentations as required.
  • Answer phone calls professionally, redirecting inquiries to appropriate personnel as necessary.
  • Monitor and maintain office supplies inventory, placing orders when necessary to prevent shortages.
  • Coordinate with internal and external stakeholders to streamline office operations and procedures.
  • Take on additional clerical tasks such as data entry, photocopying, and scanning as requested.
  • Prepare agendas for meetings and record minutes, distributing them to attendees in a timely manner.
  • Support the HR department with recruitment processes, scheduling interviews, and onboarding new hires.
  • Ensure that company protocols regarding confidentiality and data security are consistently upheld.
  • Participate in training and development opportunities to enhance job skills and knowledge.

Requirements

  • Previous experience as a Secretary or in a related administrative role is preferred.
  • Proficient in Microsoft Office Suite, especially Word, Excel, and Outlook applications.
  • Strong verbal and written communication skills, with an attention to detail.
  • Excellent organizational and time management skills, with the ability to prioritize tasks.
  • Ability to work independently and handle multiple assignments simultaneously with minimal supervision.
  • A high degree of professionalism, discretion, and confidentiality in handling sensitive information.
  • Demonstrated ability to work well in a team environment, supporting various departments effectively.
