Job Description

A Reservations Agent plays a vital role in the hospitality and travel industries, ensuring that customers can book accommodations and services with ease. This position involves engaging with potential clients, providing information on available options, and managing records to confirm bookings. As a Reservations Agent, you must excel in customer service, possess strong communication skills, and demonstrate attention to detail to ensure bookings are accurate and cater to the clients' needs. You will handle inquiries through various platforms, including phone, email, and sometimes face-to-face, making it essential to have a comprehensive understanding of the offerings and systems used within your organization.


Responsibilities

  • Receive and manage incoming customer inquiries about reservations and bookings.
  • Provide detailed information on booking availability, pricing, and facilities offered.
  • Assist customers in making reservations, ensuring all details are correctly entered and confirmed.
  • Maintain up-to-date knowledge of current promotions and discounts available.
  • Coordinate with other departments to accommodate customer requests and issues.
  • Use reservation software to keep records of all bookings accurately processed.
  • Handle changes and cancellations of reservations as per the company policy.
  • Ensure all communication with customers meets the company’s service standards.
  • Manage a high volume of inquiries while maintaining a high level of professionalism.
  • Resolve customer complaints in a timely and empathetic manner.
  • Identify and make recommendations for service improvements based on customer feedback.
  • Provide personalized service to accommodate the needs and preferences of repeat clients.

Requirements

  • High school diploma or equivalent; additional degrees or certificates a plus.
  • Proven experience as a reservations agent or in a similar role preferred.
  • Excellent verbal and written communication skills are essential for the role.
  • Proficiency in using reservation software and technology systems.
  • Strong attention to detail to ensure accuracy in client reservations.
  • Exceptional customer service skills to handle inquiries and issues effectively.
  • Ability to work in a fast-paced environment with a strong team-oriented approach.
