Job Description

As the first point of contact for guests and visitors, our Receptionist plays a crucial role in creating a welcoming and professional atmosphere. You will be responsible for managing the front desk, coordinating communications, and ensuring the smooth operation of daily office activities. This role involves greeting clients, handling inquiries, and directing them to the appropriate departments. You will also manage correspondence, schedule appointments, and support various administrative tasks. Our ideal candidate is friendly, organized, and possesses excellent communication skills. This position requires a proactive approach to problem-solving and a keen attention to detail, ensuring that all visitors and staff are treated with courtesy and efficiency.


Responsibilities

  • Greet and welcome visitors in a professional and friendly manner.
  • Direct visitors to the appropriate person or department efficiently.
  • Manage incoming and outgoing correspondence, including phone calls, emails, and mail.
  • Maintain a tidy and presentable reception area at all times.
  • Schedule and coordinate appointments and meetings for staff members.
  • Assist with administrative tasks, including filing and data entry, as needed.
  • Collaborate with the office manager to ensure office supplies are well-stocked.
  • Handle customer inquiries and resolve complaints promptly and professionally.
  • Ensure security by monitoring the access to the building and managing visitor logs.
  • Prepare reports and presentations for meetings, as directed by management.
  • Participate in staff meetings and contribute ideas for improving office efficiency.
  • Provide general support to visitors and respond to their needs or questions.

Requirements

  • Proven work experience as a receptionist or in a similar role for at least one year.
  • Proficient in Microsoft Office Suite and office management software solutions.
  • Strong verbal and written communication skills for phone and email interactions.
  • Ability to multitask and manage time efficiently in a fast-paced environment.
  • High school diploma or equivalent; additional certification in office management is a plus.
  • Excellent interpersonal skills and a warm, approachable demeanor.
  • Demonstrated ability to handle sensitive and confidential information discreetly.
