Job Description

We are seeking a highly organized and personable Receptionist to join our team. As the first point of contact for our company, the Receptionist will play a crucial role in creating a welcoming and professional environment for our clients, visitors, and team members. Responsibilities

  • Greet visitors warmly and efficiently guide them to respective personnel.
  • Answer and direct phone calls to appropriate departments with professionalism.
  • Manage incoming and outgoing mail and package deliveries promptly.
  • Maintain the reception area, ensuring it is tidy and presentable at all times.
  • Schedule and confirm appointments for clients and executives as necessary.
  • Coordinate with office staff to manage conference room bookings efficiently.
  • Handle basic inquiries and provide accurate information regarding company services.
  • Assist with data entry tasks, maintaining accurate records and databases.
  • Prepare and distribute daily correspondence, memos, and reports as needed.
  • Support office events and meetings by preparing materials and coordinating logistics.
  • Manage office supplies inventory, placing orders as needed to maintain stock levels.
  • Assist with administrative duties to support office staff and management team.

Requirements

  • High school diploma or equivalent qualification is required for the position.
  • Previous experience as a receptionist or in a related administrative role.
  • Exceptional verbal and written communication skills are essential.
  • Proficiency in MS Office Suite (Word, Excel, Outlook) is required.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Positive attitude and professional appearance at all times.
  • Ability to work independently and as part of a team in a fast-paced environment.
