Job Description

We are seeking a dynamic and personable female receptionist to manage the front desk of our company in a professional and courteous manner. As the first point of contact for clients and visitors, the receptionist plays a crucial role in representing our brand and ensuring a seamless visitor experience. The ideal candidate will be a vibrant, organized, and communicative individual who thrives in a fast-paced environment. You will be responsible for a variety of tasks, including managing phone calls, scheduling appointments, and maintaining an organized reception area. Your exceptional interpersonal skills, along with your ability to multitask efficiently, will contribute significantly to the smooth operation of our front office.


Responsibilities

  • Greet and welcome visitors with a warm and friendly demeanor.
  • Answer and direct phone calls to relevant personnel swiftly and efficiently.
  • Maintain security by following company protocols and monitoring visitor logbooks.
  • Schedule and coordinate meetings and appointments as required by team members.
  • Assist visitors with general queries and provide accurate information about the company.
  • Ensure the reception area is tidy and well-organized at all times.
  • Receive, sort, and distribute daily correspondence and deliveries.
  • Provide administrative support to various teams as needed and requested.
  • Handle and prioritize all outgoing and incoming mail communications.
  • Manage conference room bookings and ensure equipment is ready for meetings.
  • Maintain and update the company contact and phone directories regularly.
  • Perform other clerical receptionist duties such as filing, photocopying, and faxing.

Requirements

  • High school diploma or equivalent; additional qualifications are a plus.
  • Proven experience as a receptionist or in a similar customer service role.
  • Proficiency with Microsoft Office Suite and basic office equipment.
  • Excellent verbal and written communication skills are essential.
  • Strong organizational and multitasking abilities with attention to detail.
  • Positive attitude and professional appearance to represent the company well.
  • The capability to handle sensitive information with confidentiality and discretion.
