We are seeking a highly organized and personable Receptionist to join our dynamic team. As the first point of contact for our clients and visitors, your warm, welcoming demeanor will set the tone for the entire organization. You will handle a variety of administrative tasks to support the day-to-day operations of the office, providing essential support across all departments. Your role will be crucial in ensuring smooth communication within the company and beyond. Responsibilities

  • Greet and welcome guests as they arrive at the office, ensuring a positive first impression.
  • Answer, screen, and forward incoming phone calls with professionalism and courtesy.
  • Maintain the reception area’s cleanliness and presentability at all times.
  • Coordinate and schedule appointments, meetings, and conference room bookings efficiently.
  • Receive, sort, and distribute daily mail and deliveries accurately and promptly.
  • Assist with administrative tasks, including data entry, filing, and photocopying as needed.
  • Monitor office supplies and place orders to ensure a steady inventory at all times.
  • Manage and update company contact lists and internal directories with accuracy.
  • Handle inquiries from the public, clients, and colleagues with patience and discretion.
  • Facilitate security by managing visitor logs and ensuring all guests sign in appropriately.
  • Provide administrative support to various departments and assist with special projects.
  • Operate standard office equipment, including fax machines and copiers, competently and as needed.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite, especially Word, Excel, and Outlook, is essential.
  • Hands-on experience with office equipment, including printers and fax machines.
  • Professional attitude and appearance is a must, reflecting company values.
  • Solid written and verbal communication skills are critical for this role.
  • Ability to be resourceful and proactive when issues arise in a fast-paced environment.
  • Excellent organizational skills with the ability to prioritize tasks effectively.
  • Minimum of a high school diploma; additional qualifications in Office Administration are a plus.
