Job Description

We are seeking a personable and organized receptionist to join our team, as the first point of contact for our clients and visitors. The ideal candidate will possess excellent communication skills and a friendly demeanor that sets the tone for the entire organization. This role is crucial in maintaining the professional image of our company by offering superior customer service. The candidate should be able to manage multiple tasks efficiently, from handling incoming calls to maintaining visitor logs. As a receptionist, you will serve as a gatekeeper, a liaison, and a facilitator who helps keep the office running smoothly and efficiently.


Responsibilities

  • Greet and welcome visitors with a friendly and professional demeanor.
  • Manage incoming calls, direct them to appropriate departments or individuals.
  • Schedule appointments and maintain calendars for meetings and office activities.
  • Handle incoming and outgoing mail and deliveries efficiently.
  • Provide administrative support including filing, data entry, and document preparation.
  • Maintain the reception area, ensuring it remains tidy and presentable at all times.
  • Assist with office supply inventory and ensure stocks are replenished as needed.
  • Coordinate with security for visitor access and maintain visitor logs accurately.
  • Respond to inquiries and provide information about the services offered.
  • Support event planning and preparation by coordinating logistics and resources.
  • Collaborate with various departments to improve service and customer satisfaction.
  • Manage and resolve complaints or direct them to the appropriate personnel.

Requirements

  • High school diploma or equivalent qualification is required for this role.
  • Proven experience as a receptionist or in a related customer service role.
  • Strong communication skills, both verbal and written, are essential.
  • Proficiency in basic computer skills, including Microsoft Office Suite.
  • Excellent organizational and multitasking abilities in a fast-paced environment.
  • Professional appearance and demeanor with a customer-oriented approach.
  • Ability to handle confidential information with integrity and discretion.
