Job Description

A dynamic and organized Receptionist & Office Admin is sought after to join our bustling firm. As the first point of contact for clients and visitors, the ideal candidate will be an excellent communicator and possess a professional demeanor. The role involves coordinating front-desk activities, distributing correspondence, and redirecting phone calls. In addition to front-desk duties, the Office Admin will provide essential support to the administrative team with various clerical tasks to ensure smooth daily operations. A proactive and efficient individual with superb customer service skills and a knack for multitasking will thrive in this position.


Responsibilities

  • Act as the initial point of contact for all clients and visitors.
  • Answer, screen, and forward incoming phone calls accurately and efficiently.
  • Ensure the reception area is tidy and presentable at all times.
  • Receive, sort, and distribute daily mail and deliveries to appropriate recipients.
  • Schedule and confirm appointments while managing calendars for meeting rooms.
  • Provide general information to inquiries in person, by phone, or email.
  • Assist in the preparation and distribution of company documents and reports.
  • Maintain office supplies inventory by checking stock; ordering supplies as needed.
  • Assist in coordinating company events, meetings, and conference calls.
  • Perform basic bookkeeping and record-keeping tasks as necessary.
  • Support the administrative team with ad-hoc tasks and office projects.
  • Maintain confidentiality of sensitive company and client information at all times.

Requirements

  • High school diploma or equivalent; additional qualifications a plus.
  • Proven experience as a receptionist, office assistant, or related position.
  • Proficient with Microsoft Office Suite and basic office equipment.
  • Exceptional organizational and time-management skills are essential.
  • Excellent verbal and written communication skills required.
  • Ability to manage multiple tasks while maintaining a professional approach.
  • Strong interpersonal skills with a focus on customer service excellence.
  • Detail-oriented and efficient with a proactive can-do attitude.
  • Ability to handle sensitive information with the utmost confidentiality.
