Job Description

The role of a Receptionist in the veterinary industry is pivotal as it serves as the frontline point of contact between patients and the pets and the healthcare facility. The receptionist is responsible for creating an initial positive experience for patients and connection with their pets by greeting them warmly and assisting with their inquiries. They manage the flow of patients into the clinic, schedule appointments, and handle administrative tasks to ensure the smooth operation of the facility. Additionally, they maintain patient confidentiality and provide support to medical staff when needed. The ideal candidate should demonstrate excellent communication skills, attention to detail, and a compassionate and happy demeanor to handle the diverse needs of patients and visitors while maintaining a high level of professionalism.


Responsibilities

  • Greet and assist patients and visitors with inquiries, both in person and on the phone.
  • Schedule and confirm patient appointments using the facility's electronic health record system.
  • Verify patient information and insurance details before appointments.
  • Handle administrative tasks such as filing, photocopying, and managing office supplies inventory.
  • Coordinate with medical personnel to ensure smooth patient flow and timely appointments.
  • Maintain patient confidentiality by protecting sensitive health information following regulations.
  • Answer and route phone calls to appropriate departments or personnel as necessary.
  • Assist patients with the completion of necessary forms and documentation upon arrival.
  • Provide basic information to patients regarding clinic services and procedures.
  • Manage the waiting area by maintaining tidiness and ensuring adequate seating is available.
  • Receive and distribute mail and deliveries efficiently within the facility.
  • Perform cashiering duties, manage billing inquiries, and process payments or co-pays.

Requirements


  • Love and compassion for animals. 
  • High school diploma or equivalent; additional certification in healthcare administration is a plus.
  • Proven experience as a receptionist or in a similar customer service role, preferably in healthcare.
  • Proficiency in using Microsoft Office Suite and electronic health records systems.
  • Excellent communication skills with a compassionate and patient-focused approach.
  • Strong organizational skills and the ability to multitask efficiently.
  • Knowledge of medical terminology and basic billing procedures is advantageous.
  • Ability to maintain a neat and professional appearance at all times.
