Job Description

We are seeking a highly organized and personable Receptionist to join our Corporate Services team. The successful candidate will serve as the first point of contact for clients and visitors, providing a positive first impression and delivering exceptional customer service. The role requires a professional demeanor, excellent communication skills, and the ability to handle various administrative duties efficiently. Responsibilities

  • Greet and welcome visitors in a friendly and professional manner.
  • Answer, screen, and direct incoming phone calls promptly to appropriate personnel.
  • Maintain a tidy and organized front office space at all times.
  • Manage and coordinate the scheduling of conference rooms and appointments.
  • Sort and distribute incoming mail and packages to respective departments.
  • Assist in preparing and submitting expense reports and invoices when necessary.
  • Coordinate with maintenance to ensure the office environment is orderly.
  • Update and maintain client contact information and company databases accurately.
  • Perform basic clerical duties such as copying, filing, and faxing documents.
  • Support the coordination and execution of corporate events and meetings.
  • Liaise with vendors to manage office supplies inventory and orders as needed.
  • Handle and resolve customer inquiries and complaints with professionalism.

Requirements

  • High school diploma or equivalent, additional education preferred.
  • Previous experience in a receptionist or administrative role is desirable.
  • Proficient in using office software such as MS Office and email systems.
  • Strong verbal and written communication skills to convey information clearly.
  • Excellent organizational skills with the ability to multitask efficiently.
  • Professional appearance and demeanor suitable for a corporate environment.
  • Ability to handle sensitive information with the utmost confidentiality.
  • Strong attention to detail and a proactive approach to problem-solving.
