Job Description

In the role of a Receptionist in Corporate Services, you will serve as the face of the organization and be a key player in ensuring that guests have a positive first impression. You will be responsible for managing the front desk, handling a variety of administrative and clerical duties, and providing exceptional service to clients, employees, and visitors. Your ability to communicate effectively, manage multiple tasks, and maintain a welcoming and professional environment is critically important. This role requires strong organizational skills, attention to detail, and the ability to handle sensitive information discreetly. As you support various departments, you will contribute to the smooth operations of the corporate services, thereby enhancing the organization's overall efficiency and effectiveness.


Responsibilities

  • Greet and welcome guests, ensuring they feel valued and comfortable.
  • Answer and direct incoming phone calls to appropriate staff or departments.
  • Maintain the reception area, keeping it clean, organized, and presentable at all times.
  • Schedule and coordinate appointments and meetings for the corporate staff efficiently.
  • Manage and distribute incoming and outgoing mail and deliveries promptly.
  • Assist in preparing and setting up for meetings, including catering arrangements.
  • Provide general administrative and clerical support, including data entry and documentation.
  • Handle inquiries regarding the organization, offering accurate information courteously.
  • Ensure compliance with security procedures by monitoring logbooks and issuing visitor badges.
  • Support Human Resources in onboarding new employees by facilitating initial processes.
  • Assist with special projects and events to support corporate service initiatives.
  • Collaborate with maintenance for necessary repairs or improvements in the reception area.

Requirements

  • High school diploma or equivalent education qualification is required.
  • Proven experience in a receptionist or administrative role is preferred.
  • Excellent verbal and written communication skills are essential for success.
  • Professional appearance and demeanor with strong customer service orientation.
  • Proficiency in Microsoft Office Suite and basic computer skills are required.
  • Strong organizational, multitasking, and time-management abilities are necessary.
  • Ability to maintain confidentiality and handle sensitive information discreetly.
