Job Description

We are seeking a highly organized, personable, and efficient Receptionist to join our team. The ideal candidate will be the first point of contact for our organization, welcoming visitors and ensuring a positive first impression. This role involves a variety of administrative tasks, such as answering phone calls, scheduling appointments, and managing the reception area. Our Receptionist will act as the link between external visitors and our internal teams, requiring excellent communication and multitasking abilities. Responsibilities

  • Greet and welcome visitors as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office efficiently.
  • Answer, screen, and forward incoming phone calls professionally.
  • Provide basic and accurate information in-person and via phone or email.
  • Receive, sort, and distribute daily mail and deliveries correctly.
  • Maintain office security by controlling access via the reception desk.
  • Ensure the reception area is tidy and presentable, with all necessary supplies.
  • Coordinate with the facilities team on any office maintenance needs.
  • Organize and schedule meetings and appointments for staff when necessary.
  • Perform other clerical receptionist duties such as filing, photocopying, and faxing.
  • Assist in the preparation of regular reports and distribute them accordingly.
  • Order office supplies and keep inventory of stock when needed.

Requirements

  • Proven work experience as a Receptionist or in a similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Hands-on experience with office equipment, such as printers and fax machines.
  • Professional attitude and appearance with a highly polished demeanor.
  • Solid written and verbal communication skills are mandatory.
  • Ability to be resourceful and proactive in dealing with issues as they arise.
  • Excellent organizational skills and high attention to detail are essential.
  • Multitasking and time-management skills, with the ability to prioritize tasks.
  • Customer service attitude with a genuine interest in helping others.
