Job Description

We are looking for a friendly, organized, and professional Receptionist to join our team and serve as a key point of contact for clients and visitors. The ideal candidate will possess excellent communication and multitasking skills, with a keen attention to detail and a welcoming demeanor. As the face of our company, you will be responsible for creating a positive first impression for our clients and ensuring smooth daily operations at the front desk. Our Receptionist will also manage a wide range of administrative tasks to support our team and contribute to the efficient running of our office. Responsibilities

  • Greet and welcome guests as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office relevant to their needs.
  • Answer, screen, and forward incoming phone calls efficiently and accurately.
  • Ensure the reception area is tidy and presentable, with all necessary stationery and materials.
  • Provide basic and accurate information in-person and via phone or email.
  • Receive, sort, and distribute daily mail and deliveries with proper documentation.
  • Maintain office security by following safety procedures and controlling access via the reception desk.
  • Update calendars and schedule meetings for various departments as required.
  • Provide travel arrangements for senior executives and manage executive diaries.
  • Perform other clerical receptionist duties such as filing, photocopying, and faxing.
  • Assist with organizing and coordinating company events and meetings.
  • Monitor and order office supplies, maintaining an inventory of stock as necessary.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite and basic office equipment operations.
  • Hands-on experience with office equipment such as printers and fax machines.
  • Professional attitude and appearance with strong interpersonal skills.
  • Solid written and verbal communication skills and attention to detail.
  • Ability to be resourceful, proactive, and efficient when issues arise.
  • Excellent organizational skills with the ability to multitask in a fast-paced environment.
