Job Description

As a Receptionist, you will be the first point of contact for our organization, responsible for ensuring a warm, welcoming, and efficient front desk experience for all visitors and staff. You will manage a variety of administrative tasks, providing essential support across departments and helping to sustain an organized and productive work environment. Being the face of the company, your role is pivotal in influencing customer perception and reinforcing a positive company image. This position requires excellent communication skills, the ability to multi-task in a fast-paced setting, and a commitment to confidentiality and professionalism.


Responsibilities

  • Greet and welcome guests as soon as they arrive at the office promptly.
  • Direct visitors to the appropriate person and meeting rooms efficiently.
  • Answer, screen, and forward incoming phone calls professionally and courteously.
  • Ensure the reception area is tidy and presentable, with all necessary stationery and materials.
  • Provide basic and accurate information in-person and via phone/email.
  • Receive, sort, and distribute daily mail and deliveries regularly and on time.
  • Maintain office security by following safety procedures and controlling access via the reception desk.
  • Manage and schedule appointments ensuring optimal time management and organization.
  • Coordinate with company staff to ensure smooth office operations and communication.
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing, and faxing.
  • Support continuity among work teams by documenting and communicating actions, irregularities, and needs.
  • Keep updated records of office expenses and costs for budgetary controls.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite and ability to learn company-specific software.
  • Hands-on experience with office equipment like fax machines and printers.
  • Professional appearance and attitude are crucial to maintain the company image.
  • Excellent organizational skills and the ability to prioritize tasks effectively.
  • Strong written and verbal communication skills with a keen attention to detail.
  • Customer service orientation with the ability to handle challenging situations.
  • High school graduate; additional certification in Office Management is a plus.
