Job Description

The receptionist position is a pivotal role in any organization, serving as the welcoming face and voice of the company. As a receptionist, you are responsible for managing the front desk, directing visitors, and providing first-class customer service. You will handle a variety of administrative tasks such as answering phone calls, managing the incoming and outgoing mail, and maintaining office supplies. You will also play a key role in ensuring that all guests and clients receive a warm welcome. A successful receptionist is organized, personable, and possesses excellent communication skills, positioning you as an essential part of the organization’s operations.


Responsibilities

  • Greet visitors warmly and provide them with appropriate information or directions.
  • Answer, screen, and forward phone calls in a professional manner.
  • Manage the daily schedule of conference rooms and meeting spaces.
  • Receive and sort daily mail and deliveries, ensuring timely distribution.
  • Coordinate with internal staff and external service vendors when necessary.
  • Maintain the security by monitoring logbook and issuing visitor badges.
  • Keep the reception area tidy and presentable at all times.
  • Respond promptly to emails and other queries that concern reception duties.
  • Assist with the preparation of office documents such as letters and forms.
  • Order and manage inventory of office supplies for the reception area.
  • Handle basic administrative duties to support various departments.
  • Provide excellent customer service to all guests and employees.

Requirements

  • High school diploma or equivalent educational qualification is required.
  • Proven work experience as a receptionist or in a similar role is preferred.
  • Excellent verbal and written communication skills are essential.
  • Strong organizational skills with the ability to multitask effectively.
  • Proficiency in Microsoft Office Suite, especially Word, Excel, and Outlook.
  • Familiarity with office equipment, such as printers and fax machines.
  • Friendly, polished, and professional appearance with a client-focused attitude.
