Job Description

As a Receptionist, you are the first point of contact for our valued clients, visitors, and employees. Your primary role is to ensure all front desk responsibilities are executed efficiently and effectively, delivering a positive first impression and high-quality customer service. In this multifaceted position, you will manage both administrative duties and clerical tasks to help our office run smoothly. This includes handling all incoming calls, emails, and queries with professionalism and courtesy. Ideally, you will be proactive, organized, and capable of multitasking in a fast-paced environment. Your friendly demeanor and ability to communicate clearly will be essential in creating a welcoming and professional atmosphere for everyone who steps through our doors.


Responsibilities

  • Answer and direct phone calls to the appropriate department with courtesy.
  • Greet visitors and provide them with necessary assistance and information.
  • Handle mail distribution promptly and organize courier services as needed.
  • Maintain front desk and reception area by keeping it tidy and presentable.
  • Schedule appointments and maintain calendars for various office meetings.
  • Assist with administrative tasks like data entry, filing, and documentation.
  • Respond to inquiries via email and manage correspondence efficiently.
  • Collaborate with office staff to ensure smooth office operations and logistics.
  • Monitor visitor access and maintain security awareness for safety compliance.
  • Provide support in preparing reports, presentations, and meeting agendas.
  • Order and manage office supplies inventory to avoid any shortages.
  • Handle administrative duties related to conference room bookings and schedules.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Professional attitude and appearance with an attention to detail.
  • Proficiency in Microsoft Office Suite and handling office equipment.
  • Strong organizational skills and ability to multitask and prioritize tasks.
  • Excellent verbal and written communication skills for effective interaction.
  • Ability to work independently and as part of a team to meet office goals.
  • High school diploma; additional certification in Office Management is advantageous.
