Job Description

The receptionist plays a pivotal role as the first point of contact for a company, offering both administrative support and professional interaction with clients and employees. A well-organized receptionist can contribute to a smoother operation at any company, assisting with a variety of tasks to maintain an efficient and welcoming front office environment. Responsibilities include handling multiple communication streams, managing appointments, and ensuring guests feel valued and assisted. Responsibilities

  • Greet and welcome guests as they arrive at the office premises.
  • Answer, screen, and forward incoming phone calls to appropriate personnel.
  • Maintain office security by following safety procedures and controlling access
  • Provide accurate information regarding the company, services, and staff members.
  • Receive, sort, and distribute daily mail and deliveries efficiently.
  • Schedule appointments and manage calendar events for management and staff.
  • Monitor inventory levels and order office supplies as needed.
  • Assist in the coordination of meetings by preparing necessary materials.
  • Perform basic administrative duties, including filing, photocopying, and faxing.
  • Ensure the reception area remains tidy and presentable, stocked with brochures.
  • Support team members with various administrative projects and tasks as requested.
  • Handle and resolve complaints and inquiries in a professional manner.

Requirements

  • Proven work experience as a receptionist or in a similar front office role.
  • Proficient in Microsoft Office Suite or similar software relevant to the role.
  • Strong verbal and written communication skills are necessary for task completion.
  • Excellent organizational skills, with the ability to multitask effectively.
  • Attention to detail is crucial to ensure accurate information is recorded.
  • Professional appearance and behavior to maintain company reputation.
  • Ability to handle confidential information with integrity and discretion.
  • Customer service attitude with excellent interpersonal relationship skills.
  • Fluency in additional languages is considered an asset but not required.
