Responsibilities

  • Greet and direct visitors to the appropriate person or department efficiently.
  • Answer, screen, and forward incoming phone calls in a professional manner.
  • Maintain a clean and organized reception area to present a professional image.
  • Handle and distribute incoming mail and packages promptly and accurately.
  • Assist with scheduling and coordinating appointments and meetings as needed.
  • Provide basic and accurate information in response to inquiries via phone or email.
  • Monitor office supplies and place orders when necessary to ensure availability.
  • Coordinate with facility management to ensure office maintenance needs are fulfilled.
  • Assist in the preparation of regularly scheduled reports and spreadsheets.
  • Support the administrative team with various office tasks and projects as required.
  • Ensure all outgoing mail is prepared and dispatched in a timely manner daily.
  • Collaborate with colleagues to support the organization’s overall growth and efficiency.

Requirements

  • High school diploma or equivalent; additional education is a plus.
  • Proven work experience as a Receptionist or similar role in an office environment.
  • Proficient in Microsoft Office Suite, especially Word, Excel, and Outlook.
  • Strong verbal and written communication skills required for customer interactions.
  • Excellent organizational skills and ability to multitask effectively under pressure.
  • Professional attitude and appearance with a customer-oriented approach.
  • Experience with office equipment like fax machines and printers is beneficial.
