Job Description

We are seeking a professional and courteous Receptionist to join our team and serve as the first point of contact for our company. As a Receptionist, you will be responsible for delivering unparalleled service by warmly welcoming our clients and visitors, managing phone calls, and performing various administrative tasks to ensure the smooth and efficient operation of our office. The ideal candidate will possess excellent communication skills, a friendly demeanor, and the ability to multitask in a fast-paced environment. This role is critical in shaping the guest experience and requires a thoughtful and organized individual who thrives in customer service settings.


Responsibilities

  • Greet all visitors promptly and professionally upon their arrival.
  • Answer and direct incoming phone calls to appropriate departments efficiently.
  • Maintain a tidy and presentable reception area at all times.
  • Manage scheduling and appointment booking both in-person and over the phone.
  • Provide accurate information about the company and its services to visitors.
  • Receive and sort daily mail and deliveries.
  • Assist in maintaining office security by following safety procedures.
  • Handle basic administrative tasks such as data entry and filing.
  • Coordinate with office staff to ensure the smooth operation of daily activities.
  • Maintain and update records of all visitor interactions and appointments.
  • Assist with preparation for meetings and other corporate events.
  • Report any maintenance or equipment issues to the facilities team timely.

Requirements

  • High school diploma or equivalent required; additional certification is a plus.
  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Strong verbal and written communication skills in English.
  • Excellent organizational skills and attention to detail.
  • Ability to maintain composure and professionalism in high-pressure situations.
  • Familiarity with office management procedures and basic accounting principles.
