Job Description

The role of a Receptionist is pivotal for ensuring the smooth operation of an organization by managing the front desk and being the first point of contact for visitors and clients. As the face of the company, a Receptionist is responsible for greeting visitors warmly and ensuring they have an excellent experience from the moment they walk through the door. In addition to managing incoming and outgoing communication, the Receptionist is often tasked with a variety of administrative duties that support the overall efficiency of the establishment. A successful candidate for this position is typically personable, organized, and adept at multitasking, with strong communication skills and a keen eye for detail. The Receptionist role requires a high level of professionalism and the ability to handle sensitive information with discretion.


Responsibilities

  • Greet and welcome visitors and guests with a positive, helpful attitude.
  • Assist visitors in navigating through the office and alerting relevant staff of arrivals.
  • Answer, screen, and forward incoming phone calls with professionalism and accuracy.
  • Maintain the reception area by ensuring it is tidy and presentable at all times.
  • Receive, sort, and distribute daily mail and deliveries efficiently.
  • Coordinate appointments and manage schedules for conference rooms and meeting spaces.
  • Handle administrative duties such as filing, copying, and managing office supplies inventory.
  • Provide general information to inquiries in person, via phone, or email.
  • Assist with various clerical tasks to support office staff and management.
  • Monitor company security by issuing and collecting visitor badges and monitoring logbooks.
  • Respond to emergency situations following the company’s procedures and policies.
  • Support special projects and other duties as assigned by upper management.

Requirements

  • High school diploma or equivalent is required; associate’s degree preferred.
  • Minimum of 1-2 years’ experience in a front-of-house or receptionist role.
  • Exceptional communication skills, both verbal and written, with the ability to engage with diverse audiences.
  • Proficiency with Microsoft Office Suite and familiarity with office equipment such as printers and copiers.
  • Strong organizational skills and the ability to manage multiple tasks simultaneously.
  • Demonstrated ability to maintain confidentiality and handle sensitive information appropriately.
  • Flexibility and adaptability in response to changing business needs and priorities.
