Job Description

As the face and voice of our organization, the Receptionist plays a crucial role in creating a welcoming atmosphere for all visitors and clients. You will be the first contact for our guests, whether they walk through the door or call the office. Your primary responsibility is to ensure a seamless and friendly interaction, creating a positive first impression that reflects our commitment to excellent service. In addition to managing the front desk, you will be tasked with handling a variety of administrative duties to support the smooth operation of our office. Your adaptability, communication skills, and attention to detail will make you a valuable member of our team, keeping our operations efficient and our clients satisfied.


Responsibilities

  • Greet and welcome guests as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office for assistance.
  • Maintain office security by following safety procedures and controlling access.
  • Answer, screen, and forward incoming phone calls professionally and efficiently.
  • Ensure the reception area is tidy, presentable, and equipped with necessary supplies.
  • Receive, sort, and distribute daily mail and parcel deliveries accurately.
  • Provide basic and accurate information in-person, via phone, or email.
  • Order office supplies and keep inventory of stock to ensure availability.
  • Support administrative staff with various clerical tasks and projects as needed.
  • Schedule and confirm appointments or meetings, managing calendars effectively.
  • Perform data entry tasks and maintain digital filing systems for records.
  • Assist with ad hoc tasks and participate in team activities and events.

Requirements

  • Proven work experience as a Receptionist or similar role in a busy environment.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Strong written and verbal communication skills, with an emphasis on customer service.
  • Excellent organizational abilities and attention to detail in every task.
  • Ability to be resourceful and proactive when issues arise unexpectedly.
  • Multitasking and time-management skills, with the ability to prioritize tasks.
  • High school diploma; additional certification in Office Management is a plus.
