Job Description

A dynamic and organized individual, you will be the face and first point of contact for our company. As a Receptionist, your engaging demeanor and attention to detail will ensure that all visitors and clients receive a warm welcome and prompt assistance. You will have a pivotal role in managing the front desk operations, which includes greeting guests, answering phones, and managing correspondence. Your ability to multitask and prioritize tasks will sustain smooth office operations and contribute to creating a positive and efficient office environment. Responsibilities

  • Greet visitors and clients with a positive, friendly attitude to establish a welcoming atmosphere.
  • Answer incoming calls promptly and route them to the appropriate staff or department.
  • Manage incoming and outgoing mail, ensuring it is distributed appropriately and promptly.
  • Maintain front desk security by following procedures and controlling access through the reception area.
  • Update appointment calendars and schedule meetings for staff to maintain organized operations.
  • Keep the reception area tidy and professional-looking to uphold the company's image.
  • Assist clients and visitors by providing directions and answering questions about the organization.
  • Coordinate with facility management for repairs and maintenance of office equipment when necessary.
  • Maintain and manage the reception area's office supplies, ensuring everything is stocked and accounted for.
  • Handle basic administrative tasks, such as filing, copying, and scanning documents, to support office operations.
  • Support the administrative team with tasks such as scheduling and preparing meeting rooms.
  • Compile and update staff members' contact information into a reliable database.

Requirements

  • High school diploma or equivalent is required for this position.
  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficient in Microsoft Office Suite and general office equipment operation.
  • Strong organizational skills with the ability to multitask efficiently.
  • Excellent verbal and written communication abilities are necessary.
  • Professional attitude and appearance, with exceptional customer service skills.
  • Ability to be resourceful and proactive when issues arise at the reception area.
