Job Description

We are seeking a dynamic and organized Receptionist to join our team and serve as the first point of contact for our company. The ideal candidate will have excellent interpersonal and communication skills, capable of managing a variety of administrative and customer service tasks. As a Receptionist, you will play a crucial role in maintaining a welcoming and efficient front office, ensuring that our clients and visitors receive a positive and professional experience. Your ability to multitask and prioritize duties effectively will contribute significantly to the smooth operation of our business. Responsibilities

  • Greet and welcome visitors as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office promptly.
  • Answer, screen, and forward incoming phone calls professionally.
  • Ensure the reception area is tidy and presentable at all times.
  • Provide basic and accurate information in person and via phone/email.
  • Receive, sort, and distribute daily mail and deliveries accurately.
  • Perform clerical duties such as filing, photocopying, and faxing as needed.
  • Assist in the scheduling and coordination of meetings and appointments.
  • Maintain an up-to-date organizational and employee contact list.
  • Order front office supplies and keep inventory of stock efficiently.
  • Facilitate communication within the office by coordinating with team members.
  • Handle inquiries and resolve or escalate issues in a timely manner.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Hands-on experience with office equipment, such as fax machines and printers.
  • Strong organizational, multitasking, and time-management skills.
  • Excellent verbal and written communication skills suitable for a front office environment.
  • Customer service attitude with the ability to handle various client demands.
  • High school diploma or equivalent; additional certification in Office Management is a plus.
