Job Description

We are seeking a personable and dynamic Receptionist to join our team at 18N25. As the first point of contact for our company, the receptionist will be responsible for creating a welcoming environment and providing exceptional service to visitors and clients. The ideal candidate will excel in communication, multitasking, and have a strong customer service orientation. The receptionist will manage incoming calls, scheduling appointments, and ensuring that the front desk operations run smoothly. Responsibilities

  • Greet and welcome visitors upon arrival at the office with a friendly demeanor.
  • Answer, screen, and forward incoming phone calls in a professional manner.
  • Manage the incoming and outgoing mail, deliveries, and courier services efficiently.
  • Maintain the reception area in a tidy and presentable manner at all times.
  • Provide accurate information to clients and visitors by answering queries.
  • Schedule and confirm appointments and manage meeting room calendars effectively.
  • Assist in administrative tasks such as copying, faxing, and filing documents.
  • Support the HR and administrative departments with various clerical duties.
  • Monitor office supplies inventory and place orders when necessary to avoid shortages.
  • Coordinate with the facilities team for office maintenance and repair needs.
  • Ensure compliance with security procedures and review visitor logs regularly.
  • Handle sensitive information confidentially and adhere to data privacy regulations.

Requirements

  • High school diploma or equivalent; relevant certification is a plus.
  • Proven work experience as a receptionist, front desk representative, or similar role.
  • Proficiency in Microsoft Office Suite and other office management software.
  • Strong verbal and written communication skills in English are essential.
  • Excellent customer service skills with a focus on client satisfaction.
  • Ability to handle multiple tasks and manage time effectively with minimal supervision.
  • Must be well-organized, detail-oriented, and able to maintain confidentiality.
