Job Description

As a Receptionist, you will be the first point of contact for our company, creating a welcoming and professional environment for visitors and clients. You will be responsible for managing the front desk operations and providing administrative support across the organization. The ideal candidate will have excellent interpersonal skills, a friendly and approachable demeanor, and the ability to multitask efficiently. In addition to answering and directing phone calls, you will handle inquiries, monitor access to the premises, and ensure that clients are directed to the appropriate personnel. This role is crucial in supporting the daily operations of the business and promoting a positive image of the company. As our receptionist, your organizational skills and proficiency in administration will be essential in maintaining an efficient office environment.


Responsibilities

  • Greet and welcome visitors and clients in a friendly manner.
  • Answer, screen, and forward incoming phone calls efficiently.
  • Provide accurate information in-person and via phone/email as required.
  • Coordinate and schedule appointments for customers and staff members.
  • Maintain the reception area clean, tidy, and organized at all times.
  • Keep track of office supplies inventory and place orders when necessary.
  • Receive, sort, and distribute daily mail and deliveries to appropriate personnel.
  • Assist with administrative tasks such as data entry and filing documents.
  • Maintain security by following procedures and monitoring the logbook.
  • Coordinate with facilities for the maintenance and repair of office equipment.
  • Assist in the preparation of meetings and conferences as needed.
  • Handle special administrative projects and prepare reports as required.

Requirements

  • Proven work experience as a Receptionist or in a similar role.
  • Exceptional verbal and written communication skills are necessary.
  • Proficiency in Microsoft Office Suite and office management software.
  • Professional attitude and appearance with strong interpersonal skills.
  • Ability to be resourceful and proactive in dealing with issues.
  • Multitasking and time-management skills, with the ability to prioritize tasks.
  • High school diploma; additional certification in Office Management is a plus.
