Job Description

We are looking for a professional and friendly Receptionist to join our team at [Company Name]. The ideal candidate will be the first point of contact for our organization and play a pivotal role in delivering a great customer experience. You will be responsible for greeting visitors, answering phone calls, and managing incoming and outgoing correspondence. Additionally, you will coordinate front-desk activities, including distributing correspondence and redirecting phone calls. Responsibilities

  • Greet visitors warmly and direct them to the appropriate person or department.
  • Answer, screen, and forward incoming phone calls with exceptional attentiveness.
  • Provide basic and accurate information in-person and via phone/email.
  • Maintain office security by following safety procedures and controlling access.
  • Schedule and confirm appointments while managing the visitor's logbook effectively.
  • Receive, sort, and distribute daily mail and deliveries promptly and accurately.
  • Perform other clerical duties such as filing, data entry, and photocopying.
  • Keep the reception area tidy and presentable, ensuring a welcoming environment.
  • Coordinate travel arrangements and booking accommodations for team members as needed.
  • Assist colleagues with administrative tasks to support the operations of the office.
  • Keep records of inventory and order office supplies as required to maintain stock levels.
  • Support additional projects and responsibilities as assigned by management.

Requirements

  • High school diploma or equivalent; additional certification is a plus.
  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite and familiarity with office equipment.
  • Strong verbal and written communication skills with a professional demeanor.
  • Excellent organizational skills with the ability to multitask effectively.
  • Ability to be resourceful and proactive when issues arise at the reception area.
  • Customer service attitude with the patience to handle a diverse clientele.
  • A positive and enthusiastic attitude that reflects in daily tasks and interactions.
