Job Description

We are seeking a professional and personable Receptionist to join our dynamic team. As the first point of contact for clients and visitors, the Receptionist plays a critical role in setting the tone for our organization. Responsibilities

  • Greet all guests and visitors with a welcoming and professional attitude.
  • Manage and direct incoming phone calls to the appropriate departments or staff.
  • Maintain a neat and tidy reception area to uphold company image standards.
  • Coordinate front-desk activities, including distributing correspondence and redirecting phone calls.
  • Receive, sort, and distribute mail and deliveries in a timely manner.
  • Schedule and coordinate appointments, meetings, and conference room bookings.
  • Assist in preparing meeting rooms and provide necessary support materials.
  • Support administrative tasks, such as data entry and handling office supplies inventory.
  • Develop and maintain a positive relationship with clients and colleagues.
  • Ensure security procedures are followed for all visitors entering the premises.
  • Address queries and provide information about our company and services.
  • Assist with special projects and support other team members as needed.

Requirements

  • High school diploma or equivalent; additional qualifications will be a plus.
  • Proven experience as a front desk representative or similar role.
  • Proficiency in Microsoft Office Suite and office management software.
  • Strong communication skills, both written and spoken, are essential.
  • Exceptional organizational and multitasking abilities are necessary.
  • Customer service orientation and a presentable, professional appearance.
  • Ability to work independently and handle pressure in a fast-paced environment.
