Job Description

We are seeking a highly organized and personable Receptionist to join our dynamic team. The ideal candidate will be the first point of contact for visitors and will play a crucial role in creating a welcoming environment. This position requires excellent communication skills, strong attention to detail, and the ability to manage multiple tasks efficiently. As a Receptionist, you will handle a variety of tasks aimed at ensuring the smooth operation of the front office. You will interact with various departments, providing administrative support and ensuring that all inquiries are handled professionally and in a timely manner. Responsibilities

  • Greet and direct visitors in a warm and friendly manner.
  • Answer, screen, and forward incoming phone calls promptly.
  • Manage incoming mail and deliveries for the organization.
  • Maintain office security by following safety procedures and controlling access.
  • Update calendars and schedule meetings as required by staff.
  • Perform basic bookkeeping and record-keeping tasks for front desk operations.
  • Assist with various administrative tasks such as filing and data entry.
  • Ensure the reception area is tidy and presentable, with all necessary materials.
  • Provide accurate information to clients and employees about organization services.
  • Support other clerical functions and projects as needed for department efficiency.
  • Coordinate with facilities management for any maintenance requests or issues.
  • Arrange transportation and accommodations for staff and visitors when necessary.

Requirements

  • High school diploma or equivalent; additional certification is a plus.
  • Proven work experience as a Receptionist or in a similar role.
  • Proficiency in Microsoft Office Suite and other relevant software applications.
  • Excellent verbal and written communication skills are essential.
  • Strong organizational skills, with the ability to multitask effectively.
  • Attention to detail with a customer-oriented attitude is required.
  • Ability to work under pressure and maintain professionalism in all situations.
