Job Description

We are seeking a highly organized and personable Receptionist to join our dynamic team. As the first point of contact for our clients and visitors, you will play a pivotal role in ensuring a positive experience and maintaining the smooth operation of our front office area. Responsibilities

  • Greet and welcome guests as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office location efficiently.
  • Answer, screen, and forward incoming phone calls professionally.
  • Ensure the reception area is tidy and presentable at all times.
  • Provide basic and accurate information in-person and via phone/email.
  • Receive, sort, and distribute daily mail and deliveries promptly.
  • Maintain office security by following safety procedures and controlling access.
  • Order front office supplies and keep an inventory of stock items.
  • Update calendars and schedule meetings as required by various departments.
  • Perform other clerical receptionist duties such as filing, photocopying, and faxing.
  • Support HR with coordinating interviews and onboarding new employees.
  • Coordinate maintenance of office equipment to ensure smooth functioning.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite of applications is essential.
  • Hands-on experience with office equipment such as printers and fax machines.
  • Excellent organizational and multitasking abilities are a must.
  • Strong verbal and written communication skills are necessary.
  • Customer service attitude with professional appearance and behavior.
  • High school degree; additional certification in Office Management is a plus.
