We are seeking an organized and personable Receptionist to join our dynamic team. As the first point of contact for our company, you will be the face and voice that greets and assists clients, customers, and visitors. Your role is crucial in delivering exceptional customer service and maintaining a welcoming environment. You will handle a variety of administrative support tasks, and ensure that the reception area is presentable and efficient at all times. Responsibilities

  • Greet and welcome visitors with a warm and professional demeanor.
  • Answer, screen, and forward incoming phone calls efficiently.
  • Provide accurate information in-person and via phone/email.
  • Maintain and organize the reception area, keeping it tidy at all times.
  • Assist with scheduling and managing appointments for staff and clients.
  • Sort and distribute daily mail and deliveries to respective recipients.
  • Maintain office security by following safety procedures and controlling access.
  • Manage booking of meeting rooms and preparation of meeting materials.
  • Order office supplies and keep an inventory of stock levels.
  • Coordinate with other departments for administrative support tasks.
  • Perform other clerical duties such as filing, photocopying, and faxing.
  • Respond promptly to queries from clients and staff members.

Requirements

  • High school diploma or equivalent education required for consideration.
  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite and familiar with office equipment.
  • Strong organizational skills with the ability to manage multiple tasks.
  • Excellent verbal and written communication abilities in English.
  • Professional appearance and demeanor with a customer-oriented attitude.
  • Ability to handle stressful situations with poise and professionalism.
