Job Description

The role of a Property Administrator is integral to the smooth operation of real estate properties, including residential, commercial, and industrial spaces. The primary focus is on supporting the property management team with administrative tasks that keep the properties functioning efficiently while ensuring the satisfaction of tenants and compliance with all regulations. This position demands strong organizational skills, attention to detail, excellent communication abilities, and a solid understanding of property management fundamentals. The Property Administrator acts as a point of contact for tenants, handles maintenance requests, supports leasing operations, and assists in financial administration including budgeting and reporting. The role also involves coordinating with various service providers and ensuring that properties are maintained in top condition and tenants' needs are met promptly. The successful candidate will possess a customer-oriented mindset and demonstrate reliability and professionalism in dealing with tenants and colleagues alike.


Responsibilities

  • Serve as the main point of contact for all tenant-related inquiries and concerns.
  • Assist in the preparation and execution of lease agreements and documentation.
  • Coordinate property maintenance requests and liaise with service providers for timely resolutions.
  • Maintain accurate records and files of lease agreements, correspondence, and other property documents.
  • Support the property management team in budgeting and financial reporting tasks.
  • Ensure compliance with all relevant property regulations and management policies.
  • Schedule and coordinate regular property inspections to ensure maintenance of standards.
  • Assist in the preparation of monthly, quarterly, and annual reports on property operations.
  • Organize and attend tenant meetings, preparing minutes and action plans as needed.
  • Manage accounts receivable by monitoring and following up on rent payments from tenants.
  • Implement tenant retention strategies to enhance customer satisfaction and occupancy rates.
  • Provide exceptional customer service to current and prospective tenants at all times.

Requirements

  • Bachelor’s degree in property management, real estate, or a related field preferred.
  • Previous experience in property administration or a similar role is desirable.
  • Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
  • Excellent communication and interpersonal skills to interact with tenants and stakeholders.
  • Proficiency in property management software and Microsoft Office Suite, especially Excel.
  • Detail-oriented with a high level of accuracy in handling administrative tasks.
  • Ability to work independently and collaboratively within a team setting.
