Role Purpose

The Project Administrator Intern will provide administrative, coordination, and reporting support to the PMO team and Project Managers. The role is designed to provide practical exposure to project governance, portfolio reporting, project controls, documentation, and the day-to-day operation of a corporate PMO.

Key Responsibilities

  • Support Project Managers in maintaining project plans, action trackers, meeting schedules, and project documentation.
  • Assist in preparing project status reports, dashboards, presentations, and management updates.
  • Coordinate project meetings, including scheduling, preparing agendas, recording minutes, and following up on agreed actions.
  • Maintain accurate project records, registers, and trackers, including risks, issues, changes, decisions, and key milestones.
  • Support the PMO team in collecting, validating, and consolidating project information from different teams and stakeholders.
  • Assist with the administration of PMO systems, document management platforms, templates, and standard project folders.
  • Monitor upcoming project deadlines, reporting dates, governance reviews, and required submissions.
  • Support the preparation of portfolio reviews, steering committee meetings, workshops, and PMO initiatives.
  • Assist in maintaining PMO procedures, templates, guidance documents, and knowledge repositories.
  • Perform general administrative and coordination activities required to support effective project delivery.

Qualifications And Skills

  • Currently pursuing or recently completed a bachelor’s degree in business administration, Project Management, Engineering, Management Information Systems, or a related field.
  • Strong organizational skills and attention to detail.
  • Good written and verbal communication skills.
  • Proficiency in Microsoft Office, particularly Excel, PowerPoint, Word, and Outlook.
  • Ability to manage multiple tasks and follow up on actions and deadlines.
  • Comfortable working with data, reports, trackers, and structured documentation.
  • Proactive, dependable, and willing to learn.
  • Ability to work collaboratively with Project Managers, PMO team members, and other stakeholders.
