About The Opportunity

A fast-growing trade and logistics firm operating across the UAE and GCC markets, we specialize in high-velocity import-export operations, supply chain coordination, and client-facing trade execution. Our team moves quickly, adapts rapidly, and thrives in dynamic, deadline-driven environments where precision and proactive communication are non-negotiable. As we scale operations, we’re seeking a sharp, detail-oriented Personal Assistant to support senior leadership and ensure seamless day-to-day execution.

Role & Responsibilities

  • Manage executive calendars, prioritize meetings, and coordinate travel logistics across domestic and regional destinations.
  • Screen and route calls/emails, draft correspondence, and prepare briefing materials for leadership meetings and client touchpoints.
  • Track action items, follow up on deadlines, and maintain organized digital and physical filing systems for executive workflows.
  • Coordinate internal and external stakeholder communications — from vendor calls to client updates — ensuring clarity and timeliness.
  • Assist with document preparation, expense reporting, and light administrative tasks including invoice tracking and procurement support.
  • Anticipate leadership needs, proactively flag scheduling conflicts or task bottlenecks, and act as a gatekeeper to optimize executive productivity.

Skills & Qualifications Must-Have

  • Microsoft Office Suite (Word, Excel, Outlook)
  • Google Workspace (Gmail, Calendar, Drive)
  • Time management tools (Trello, Asana, or similar)
  • Business communication etiquette
  • Calendar & appointment scheduling
  • Travel coordination (flights, hotels, visas)

Preferred

  • Experience supporting C-suite or senior executives in trade, logistics, or import-export sectors
  • Fluency in Arabic (spoken or written)
  • Familiarity with UAE business norms and government portals (e.g., Ministry of Human Resources, Dubai Customs)
