Job Description

We are seeking a dedicated and proactive Personal Assistant to join our dynamic team. The ideal candidate will provide high-level support and perform a variety of administrative tasks to facilitate the executive's daily activities. As a Personal Assistant, your role will be crucial in ensuring the executive's schedule runs smoothly and efficiently. You will be expected to manage appointments, organize meetings, and coordinate travel arrangements with precision. Additionally, you will serve as a reliable point of contact for internal and external stakeholders, maintaining confidentiality and exercising discretion at all times. Responsibilities

  • Manage executives’ calendars and schedule appointments with attention to detail.
  • Organize and coordinate meetings, ensuring all logistics are arranged effectively.
  • Handle and prioritize all outgoing and incoming correspondence efficiently.
  • Coordinate travel arrangements, including flights, accommodation, and transportation.
  • Prepare detailed itineraries to guide executives through daily tasks seamlessly.
  • Assist in preparing presentations or reports for internal and external meetings.
  • Maintain appropriate filing systems and ensure all documents are readily accessible.
  • Screen phone calls, emails, and manage stakeholder inquiries professionally.
  • Provide administrative support and follow up on deliverables as required.
  • Conduct research and compile data to support executive decision-making processes.
  • Liaise with clients, vendors, and other external entities on behalf of the executive.
  • Support additional projects and tasks as directed by the executive team.

Requirements

  • Bachelor’s degree in Business Administration or a related field preferred.
  • Proven experience as a Personal Assistant or similar administrative role.
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • Excellent written and verbal communication skills are essential for success.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) required.
  • Ability to maintain confidentiality and exercise discretion in handling sensitive information.
  • Self-motivated, proactive, and capable of working independently with minimal supervision.
