Job Description

We are seeking a highly organized and detail-oriented Personal Assistant to support our executive team. The right candidate will be proactive, adaptable, and able to manage various tasks simultaneously. You will act as the first point of contact dealing with correspondence and phone calls, managing diaries, and organizing meetings and appointments. Your role is essential in maximizing the executive's efficiency and ensuring the smooth running of day-to-day activities. We value someone who can maintain discretion, is a quick thinker, and possesses superior problem-solving skills. This role requires a high degree of flexibility and a willingness to undertake numerous tasks, both routine and unique, to support our top executives.


Responsibilities

  • Manage and coordinate the daily schedule of executives to optimize their time.
  • Handle incoming communications, including emails and phone calls, promptly.
  • Organize internal and external meetings, ensuring smooth proceedings and follow-ups.
  • Maintain comprehensive and accurate records, making information readily available.
  • Conduct research and prepare briefs or reports as needed by the executive team.
  • Assist in organizing business travel including booking flights, transportation, and accommodations.
  • Act as a liaison between the executive and various departments across the organization.
  • Coordinate personal tasks and appointments for executives as needed.
  • Ensure timely preparation and distribution of meeting agendas and minutes.
  • Provide administrative support such as filing, typing, and document management.
  • Handle sensitive information confidentially and ethically at all times.
  • Manage and refresh office supplies, handling procurement and vendor relationships.

Requirements

  • Proven experience as a Personal Assistant or relevant administrative role.
  • Exceptional organizational skills with the ability to multitask efficiently.
  • Strong communication skills, both written and verbal, are essential.
  • Proficiency in office management software such as MS Office and Google Suite.
  • Discretion and confidentiality are crucial in this sensitive role.
  • Ability to work independently and as part of a team to meet deadlines.
  • Adaptable to changing schedules and priorities with a flexible attitude.
